Job Profile

This newly created role aims to build and embed practical AI capabilities across the organization, helping staff access and generate information faster and more reliably. You will work within the global IT function and collaborate with HR, Supply Chain, Finance, and Programmes teams to deliver AI tools that improve daily workflows.

The role focuses on designing and building AI agents and chatbots within Microsoft Copilot using organizational data stored in SharePoint, including policies, SOPs, guidance, templates, meeting notes, donor rules, and proposals. You will create Retrieval‑Augmented Generation (RAG) solutions that:

  • Answer staff questions using approved RI documents only
  • Provide clear citations to source documents
  • Respect existing SharePoint permissions
  • Work reliably across multiple countries and functions

This is a hands-on, delivery-focused role. You will translate high-level business needs into safe, usable Copilot solutions, focusing on practical deployment rather than academic research or model training.

Key Responsibilities

Build Copilot Agents

  • Design and build Copilot agents using RAG to interrogate internal repositories and produce structured, citation-based answers and draft documents.
  • Configure knowledge sources, prompts, and grounding rules to ensure responses are accurate and policy-based.
  • Support common NGO use cases, such as policy and compliance queries, SOP lookups, drafting structured documents, product pricing, and meeting summaries.

Knowledge Ingestion and Retrieval

  • Prepare SharePoint content for AI retrieval, including document structuring, chunking, metadata, and tagging.
  • Handle multiple document versions and ensure only the latest approved content is used.
  • Improve retrieval quality using Copilot and Microsoft search capabilities.

Security, Privacy, and Responsible Use

  • Ensure AI agents respect user permissions.
  • Apply safe-by-design practices to reduce AI risks like hallucinations or inappropriate data exposure.
  • Collaborate with IT, Information Security, and Data Protection to ensure compliance with RI policies and donor expectations.

Stakeholder Engagement and Enablement

  • Define RI’s AI principles and guardrails and communicate internally.
  • Work with HR, Finance, Supply Chain, and Programs to identify priority AI use cases.
  • Translate business questions into practical, safe AI-enabled solutions.
  • Develop guidance, training, FAQs, and adoption materials for staff on effective AI usage.
  • Document technical processes (architecture, runbooks, data flows, access control models, test scripts).
  • Support IT teams in first-line, second-line, and third-line support for AI tools.
  • Monitor AI agent usage, quality, and continuously improve solutions based on feedback.

Person Specification

Essential Criteria

  • Practical experience building AI assistants or chatbots using RAG over organizational documents (SharePoint, file servers, Confluence).
  • Hands-on experience with Microsoft 365 ecosystem, especially SharePoint, Teams, and Copilot.
  • Ability to process large document volumes for AI retrieval.
  • Working knowledge of identity and access control concepts.
  • Experience building production-grade tools used by real users.
  • Strong ability to work independently and explain technical decisions simply.
  • Experience supporting non-technical users in new digital tools.
  • Comfortable working in a globally distributed organization.

Desirable Criteria

  • Experience with Azure services related to search or AI (e.g., Azure AI Search).
  • Familiarity with data protection, information governance, or audit requirements.
  • Experience working in NGOs, humanitarian, or donor-funded environments.
